1. Introduction

Camtend is an employee attendance and workforce management service (website, admin app "Camtend Admin" and employee app "Camtend Employee") provided by Sulistar Technology Solutions Ltd, 71-75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom ("Camtend", "we", "us"). This Privacy Policy explains what personal data we collect, why we collect it, how we use and protect it, and the rights you have.

By using Camtend you confirm that you have read this policy. If you do not agree, please do not use the service.

2. Our role: controller and processor

If you are an employee and have a question about how your employer uses your attendance, photo or location data, please contact your employer first.

3. Data we collect

3.1 Account and company data

Name, email address, phone number, password (stored hashed), sign-in method (email, Google or Apple), preferred language, company name, country, time zone, departments, shifts, work schedules, and the role assigned to you (owner, administrator, supervisor or employee).

3.2 Attendance and HR data

Check-in and check-out records with date and time, shift and schedule data, leave and vacation requests, lateness and overtime, notes, loans and salary-related figures, circulars, documents and announcements that administrators choose to enter or send.

3.3 Location data

When your employer enables location features and you grant permission on your device, the employee app sends the device location when you record attendance to verify that you are at an approved work location (geofencing). If your employer enables live tracking and you grant "Always" location permission, the app may send your location during working hours, including while the app is closed, so that administrators can see it on a map. Location of employees who have recorded check-out is not shown. You can withdraw permission at any time in your device settings, but attendance features that depend on it may stop working.

3.4 Photos and facial data (biometric data)

If your employer enables photo capture or face recognition, the employee app captures a photo when you record attendance and, for face recognition, one to six reference face images that you register and an administrator approves. These are used only to verify your identity and prevent attendance being recorded on your behalf. Face recognition in Camtend is independent of the Face ID or fingerprint settings of your phone, and we do not receive your phone's biometric data. Facial data is biometric data and is processed only where your employer has enabled the feature and obtained any consent or notice required by law.

3.5 Device and technical data

Device model, operating system, app version, push-notification token, IP address, language, log and error information, and approximate location derived from IP address.

3.6 Payment data

Subscriptions are paid through Stripe or through in-app purchases of the Apple App Store / Google Play. We do not receive or store full card numbers. We keep subscription status, plan, invoices, amounts and payment-provider identifiers.

3.7 Communications and support

Messages you send us (contact form, support chat, email, suggestions) and our replies.

3.8 Cookies

We use essential cookies (session, security, language) and, where applicable, analytics cookies to understand how the website is used. You can block cookies in your browser; some parts of the service may then not work.

Where data is transferred outside your country we use appropriate safeguards such as adequacy decisions or standard contractual clauses.

7. Retention

We keep data for as long as your account is active and as needed to provide the service. Employers control how long attendance records are kept in their account. After an account is closed or a deletion request is approved we delete or anonymise personal data within a reasonable period (normally within 24 hours of a verified deletion request for account data), except data we must keep for legal, tax, accounting or security reasons (for example invoices) and routine backups, which are overwritten on a rolling cycle.

8. Security

We use encrypted connections (HTTPS), hashed passwords, access controls by role, monitoring and regular updates. No system is completely secure; please keep your password confidential and tell us at once if you suspect unauthorised access.

9. Your rights

Depending on where you live (including under the UK GDPR / EU GDPR) you may have the right to access, correct, delete, restrict or object to the processing of your data, to data portability, to withdraw consent at any time, and to complain to your data protection authority (in the UK, the Information Commissioner's Office, ico.org.uk). Employees should normally send requests to their employer; you may also write to us and we will assist the employer or answer directly.

Account and data deletion: you can request deletion of your account data at https://camtend.com/deletemydata or by emailing support@camtend.com.

10. Children
